FAIRTRADE FORUM

Wednesday 20th October 2004

Room L Civic Offices

1.      Minutes of Last Meeting

 

Confirmed as true copy of last meeting, all actions arise in this meetings agenda.   Minutes of last meeting to be sent again to those receiving paper copies (it's possible they weren't sent) also copy for councillor lowndes and Councillor Steven Wylie has also requested to receive copies of the minutes.

 

2.      PCC Review Meeting

 

Those who were present at the review meeting agreed the presentations given were good and well received however forum members were slightly confused by the process.  Carolyn explained how the system works (scrutiny panel will make recommendations pass on to Exec who will decide what to pass onto full council.

The report is planned to be signed off on the 10th Nov; we will then have a clearer idea about the level of support that can be expected form the Council.

 

3.      Priorities for spending 2005-2006

 

The PCC grant application closing date is the 11th Nov until the report is available it is difficult to know what level of support to request.  Mandy advised doing similar to last year and then withdrawing the application at a later date if it's not required.  Also suggested approaching the Co-op for local funding.

 

4.      New Consumer Magazine

 

Sue explained to the meeting the opportunity to have 10,000 copies of a brochure produced nationally by new consumer but with several pages dedicated to Portsmouth.  The cost is £1,800.00 and a late bid had been put through the PCC grants budget for £1,600.00 to enable Portsmouth to take part in the project.  Money can be raised by advertisements aimed at local traders who promote fairtrade.  The editorial has to be put together by the end of Dec.

When the invoice has arrived form new consumer there is £300 for vat included, this wasn't expected and had not been budgeted for.  Carolyn raised the doubt the vat may not be payable on brochures.  Sue has queried it with the Fairtrade Foundation and is awaiting a reply. Mandy will pick the issue up with someone in financial services. 

 

Sue has prepared a draft letter to send to companies inviting them to advertise in the brochure.  Mandy will pass on details of Lyndsey McCurdy to Sue (looks after business database).  It was suggested to ask the Leader of the Council to provide some editorial for the centre, Mandy will speak to him asap and advise.

 

It was suggested working party was needed to move this forward, daytime would be could to utilise the support of people in departments and could start looking at planning for fairtrade fortnight.  Carolyn will speak to Barbara Thompson as she now heads up the Directorate in which most of the key people work.  Carolyn will also speak to Mark Wingham is the media unit re as ad in US (PCC internal; staff magazine) to promote the work of the forum and possibly recruit new members, Sue can also write a piece for The Voluntary Sector's mailing.

 

5.      Fairtrade Foundation Training day and Award

 

Sue meet up with two students at the event who are interested in joining the forum, there are further interested with whom Sue is in contact.

Barbara Crowther was sharing some of the items coming up in the year ahead.  The theme for Faritrade Fortnight is "Check Out Fairtrade".  Sue passed over the framed certificate of the imagination award, which will be displayed at the civic offices.

 

6.      Talks

 

Sue has spoken to Hoteliers group today (copy of presentation shared with group and will be on the website). Christine visited Admiral Lord Nelson, two visits made to age concern, St Jude's primary school have had two visits and the children have been very interested and imaginative.

 

7.      Cafes

 

Order up cards were available at the meeting for members to take.   John Lewis is trying products, Marks and Spencer have products, Wesley Centre café also.  It was agreed to target the following cafes:- Snookies, Café Parisien, Citrus Café Lulus Othellos at the Theatre Royal.  Sue handed out some guidance form the foundation re approaching caterers.

 

8.      Lib Dem Conference

 

A speech on Faritrade was given by a delegate, which resulted in unanamous support for Fairtrade.

 

9.      Checking on Retailers

 

It was felt the list was currently up to date.

 

10. Fundraising

 

E-mail has been received form Mike Dobson ,  Traidcraft did an event at The Great South Run and he was interviewed for a promotional video and he was able to promote fairtrade.  He has clutter in his loft which he would like used to do car boot or something, Carolyn suggested Green Fayre which info on will be available shortly.

 

11. VSO Conference.

 

Responsible tourism conference at the Portland building on 23rd Nov 4.15-7.00 if anyone wants to attend.

 

12. Fairtrade Shop in Southampton

 

106 Shirley High Street open Mon -Sat 9.00am-5.00 pm
